  5. Review of satellite meeting (30 mins)

    • Emma: General consensus was positive, couple of things might we do differently again, nice to see people who are not satellites as well. It will be worth to do it in the similar format again, specially for new people. Maybe in small subgroups.
    • Andrew: Is it better for Dundee group to not look entire 2 days? Maybe have lunch together.
    • Emma there were a long time commitment from everyone
    • Andrew: for the first one, it made sense to have everyone; but could focus in the future.
    • J-M: How many sites for the next meeting? At least 2, but others have not been hired yet.
    • Emma: Program could be more structured, but was difficult to anticipate it in advance.
    • Josh: we probably wouldn’t have gone wrong to spend most of the time on training.
    • Andrew: invite satellites for one day training.
    • Chris: 1.5 or even a day just for getting a feel, but hard on those coming from the US.
    • Scott: Ian and Yuriy both attended training before, they were more focused on where we were going.
    • Will: Challenge to get everyone working in the same style.
    • Carlos: interesting to talk to CRS4 crew.
    • Emma: slides and presentations are on alfresco. * Andrew: what do we want to publicised about this meeting?
    • Andrew: there was discussion about FS & data-dupe as well. Need a follow up meeting.
  6. Meeting, mini-groups timetable. Sprint schedule, presentation schedule. (10mins)

    • J-M: Tuesday was suggested as a major group meeting. Do we want to invite external people every second week, or?
    • Josh: I would see more presentation and real work rather then matters arising, and other internal issues.
    • Carlos: It could be spitted to 2 sections.
    • J-M: At 2 we start for matter arising and other businesses. At 2:30 we will do brainstorming and other technical bits.
    • Elwood: Call first section “house keeping”
    • Colin: depends where I am physically ;-) Can see the benefits of both.
    • Josh: different suggestion - first meeting could be on DEVTEAM (because we pass urls and going through checklist), other people get transcript then.
    • Chris: not sure if more or less efficient by voice.
    • Ola: Chatting rules, to not get messy and give chance to say to everyone who wants to add something important.
    • Andrew: one rule - full sentences ;-)
    • Emma: Temporally we will send transcript via email.
    • Josh: If python team can settled on Monday and other sub-teams we can review then on Tuesday.
    • NO MORE THURSDAY MEETINGS!!!
    • Emma: minigroup meetings * Get meetings scheduled and rooms set up, etc. * Josh: agenda is probably the thing we could most do better. Need time to schedule kid pick ups, etc. * Emma: any other meetings? Model once a month? Every 2 weeks.
    • Scott: Usability meetings perhaps on Thursdays * Ola: there is one person preparing agenda, might want to tell that person about your particular interests. * Andrew: when do we want to go agenda up before Tuesday meeting? * Simon: What about preparing agenda after previous meeting and last for entire week. * Josh (to Andrew): you could send reminder about closing time for adding new points?
    • J-M: could we clean tickets more often, add screenshot for presentation makes it available to follow? * Josh: tried to push github PRs as a way to share with the satellites.
    • Simon: with support, shouldn't be a problem
    • Elwood: lack of experience with git
    • J-M: how do we want to go through / present branches? Just going over branches every week.
      • Emma: as required.
      • Carlos: perhaps too self-managed, but it’s the correct approach.
    • Emma: occasional updates from the satellites * J-M: How often? Tuesday meetings? * Josh: Some of the sites can be very active, for others we might have buddy system * Emma: I can check in regularly, but they still need technical check in as well.
    • Simon: The idea when we have nothing to present or urgent to discuss, we can bring a long the screenshot discussing about particular branch. Rolling sanity check.

    • Feedback from Ingvar: * Think we focused on the right issues. Looking at EBI where we have fixed contract, the handover when someone leaves do not always go smoothly. Considering that in 3 years time you may have a large number of developers leaving at the same time that has to be address from the start. * On the bring all together vs focused meetings. I suggested one annual meeting for all satellite developers, additional meetings based on specific topic/issue at hand. * Dundee Discussion: * Josh: handover in 3 years is very good * Emma: perhaps have another day in Paris * Andrew: what is more ‘comfortable’, extra day in Paris or taking advantage of space here in Dundee. * Josh: have to request space from Spencer early. Andrew: Meditel? * Simon: City Lib in Amsterdam is very convenient in terms of access, meeting spaces and infrastructure.
    • BioTechnology Yes Edinburgh (Chris) * Invited to give 1 of 6 talks. Entrepreneurship cases as part of Innovator of the Year award. * Well received. Happy people. Not users, but recognition. * Elwood: does it mean people are likely to come and visit us? * Chris: gave out about a dozen business cards. * Certainly an interest in how we did & managed it. * But very few software people, so may not want to come up and see. * Josh: Where are they from? * Chris: mostly local - Scotland. * 2 EDI, 1 Dundee, 1 from Aberdeen. * Emma: they do entrepreneurship competition. * Scott: I will ask my questions later on ;-)
